SuiteBook FAQ: sessional billing for specialist suites: Questions, answered plainly.
About sessions, arrangements, invoices, Xero, patient data and payroll tax.
Product
What does SuiteBook do?
SuiteBook tracks every sessional booking across your consult and procedure rooms, applies each specialist’s dated arrangement, and closes month-end with GST tax invoices ready for Xero.
Is SuiteBook a practice management system?
No. Your specialists keep their own clinical software and Medicare claiming. SuiteBook handles only what the suite charges them for rooms, services and shared costs.
Can it handle different arrangements for different specialists?
Yes. Each specialist can have a fixed session fee, a percentage of reported billings, or both, for the rooms you choose, with start and end dates. See dated arrangements.
What happens when a rate changes mid-month?
End the old arrangement and start a new one on the change date. Sessions before the date are charged at the old rate, sessions after at the new one.
Does it cover procedure rooms?
Yes. A procedure room is booked in the same grid as consulting rooms and can have its own rates. See procedure rooms.
Invoices and Xero
Are the invoices valid GST tax invoices?
They are laid out around the ATO’s tax invoice requirements, with both ABNs, dated line items and GST. You and your accountant remain responsible for your GST obligations.
Does it work with Xero?
Today the demo exports finalised invoices as a CSV in Xero’s sales-invoice import layout. A direct Xero connection is planned. Account code and tax type in the demo are placeholders to set with your bookkeeper.
Can I fix a mistake after finalising?
Finalised items are locked so they cannot be billed twice. Credit notes for corrections are planned but not in the demo yet.
Data and compliance
Do you store patient information?
No. There are no clinical records. Percentage fees use the gross billing totals that specialists report to you.
Do you do Medicare claiming?
No, and we don’t plan to.
Will SuiteBook make us payroll-tax compliant?
No. No software can. Payroll-tax treatment depends on the substance of your arrangements. Read SRO ruling PTA-041, see our compliance stance, and get your own professional advice.
Where is data stored?
The live demo stores everything in your own browser with fictional data, and nothing you type is sent to us. Hosting for the production service has not been finalised. We will publish it before anyone puts real data in.
Who can see the specialist portal?
In the demo, the portal shows one fictional specialist’s own invoices and arrangements. Sign-in for real accounts is planned.
Getting started
Can you import our spreadsheet?
Concierge onboarding to import your current specialists and arrangements is planned.
How much does it cost?
Pricing is not final. See the indicative pricing, shown in Australian dollars excluding GST.
Can I try it before booking a demo?
Yes. The live demo needs no sign-up and runs a full month-end with fictional data.
Do you have guides on GST and payroll tax?
Yes. See the guides. They are general information, not advice.
