Feature · Dated arrangements: The right rate, on the right day.
Record each specialist’s arrangement with the rooms it covers, how it is charged and the dates it applies. When a rate changes on the 1st, sessions before and after are charged correctly without anyone remembering to switch.

The problem
- A new agreement starts mid-year and the spreadsheet keeps last year’s fee.
- One specialist pays a flat session fee, another a percentage, another both.
- Nobody can say which version of an agreement applied to a session three months ago.
What SuiteBook does
Labelled honestly: “In the demo” means you can try it now. “Planned” means it is not built yet.
Start and end dates
In the demoEvery arrangement has a start date and an optional end date. The arrangement in force on a session’s date is the one that applies.
Fixed, percentage or hybrid
In the demoA fee per session, a service fee as a percentage of the billings a specialist reports, or a session fee plus a percentage.
Rooms covered
In the demoEach arrangement lists the rooms it covers, such as a consulting room only, or a consulting room and the procedure room.
Inclusions and notice
In the demoRecord what the fee includes (room, reception, cleaning, consumables) and the notice period in days.
Document type
In the demoLabel each arrangement as a room-hire / facilities agreement or a service-fee arrangement, so your advisers can see what was agreed.
Audit trail
In the demoNew arrangements, end dates and month-end runs are written to an audit log with who did it and when.
How it works
- 1
Enter the arrangement
Specialist, rooms, rate type, fee and percentage.
- 2
Date it
Start date, and an end date if one is agreed.
- 3
Change it later
End the old one and start a new one. History stays intact.
- 4
Charge by date
Each session is charged under the arrangement active that day.
Good to know
- SuiteBook records the arrangement you have made. It does not decide whether that arrangement is a tenancy, a licence, contracting or employment.
- Notice periods are recorded but not enforced in the demo.
