Privacy policy
Draft. Last updated: [INPUT NEEDED: publication date]
This policy explains how [INPUT NEEDED: legal entity name] (ABN [INPUT NEEDED: ABN]) ("SuiteBook", "we", "us") handles personal information in connection with the website suitebook.co and the SuiteBook demo. We aim to handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). [INPUT NEEDED: confirm with your adviser whether the Privacy Act applies to the business (for example, the small-business exemption) and adjust this sentence accordingly.]
1. What SuiteBook is, and what it is not
SuiteBook is billing software for specialist suites and consulting rooms. It records room bookings, specialist arrangements and invoices. It is not a clinical system. SuiteBook does not collect or store clinical records, patient health information or Medicare information, and you should not enter any into the demo or any form on this site.
2. Information we collect
Demo requests. If and when demo requests open, the demo request form asks for your name, email, and optionally your phone number, practice name, role, the plan you're interested in, number of rooms, number of specialists and any notes you choose to add. While demo requests are closed, the form doesn't send these details anywhere.
Spam protection. The demo request form uses Cloudflare Turnstile to check that a request comes from a person. Turnstile processes technical information such as your IP address and browser and device signals. We receive only a pass/fail result.
Technical information. The site is hosted on Cloudflare. As part of delivering and securing the site, Cloudflare processes technical data such as IP addresses, request URLs, browser type and timestamps. [INPUT NEEDED: confirm whether you keep or review any Cloudflare logs, and for how long.]
The interactive demo (/app and /portal). The demo uses fictional sample data. Anything you change in the demo is saved only in your own browser's local storage on your device. It is not sent to us. You can clear it at any time by clearing your browser's site data for suitebook.co.
Analytics and cookies. We do not currently use analytics, advertising or tracking cookies on suitebook.co. [INPUT NEEDED: update this section if analytics or conversion tracking is added.] Cloudflare and Turnstile may set strictly necessary cookies or similar technologies for security.
Email. If you email us, we keep the email and your contact details so we can reply. [INPUT NEEDED: contact email address.]
3. Why we collect it
We use personal information to:
- respond to demo requests and enquiries
- arrange and run product demonstrations
- keep the site secure and prevent spam and abuse
- meet our legal obligations.
We do not sell personal information, and we do not use it for third-party advertising.
4. Who we share it with
We share information only with service providers who help us run the site and respond to you:
- Cloudflare, Inc. (hosting, security, Turnstile and [INPUT NEEDED: email delivery, if Cloudflare Email Service is used for demo requests]).
- [INPUT NEEDED: any CRM, email, calendar or webhook destination used for demo requests.]
We may also disclose information where the law requires or authorises it.
5. Overseas disclosure
Cloudflare operates a global network, so technical data and form submissions may be processed outside Australia, including in the United States. [INPUT NEEDED: list the countries for any other providers you add.]
6. How long we keep it
We keep demo request details for [INPUT NEEDED: retention period, e.g. 24 months after last contact] unless you become a customer or ask us to delete them sooner.
7. Security
We use reasonable steps to protect personal information, including HTTPS across the site, server-side spam verification and keeping secrets out of client code. No system is completely secure.
8. Access, correction and complaints
You can ask to access or correct the personal information we hold about you, or make a privacy complaint, by contacting us at [INPUT NEEDED: privacy contact email]. We aim to respond within 30 days. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at https://www.oaic.gov.au.
9. When SuiteBook launches as a service
This policy covers the marketing site and demo. When SuiteBook is available to customers, a separate data processing section will explain how practice and specialist billing data is hosted and protected. [INPUT NEEDED: production hosting region, sub-processors and the date the service opens.]
10. Changes
We may update this policy. The current version will always be on this page with its "last updated" date.
